Program Specialist #S04296P – University of Texas at Dallas

The Program Specialist for Research Core Facilities will provide professional administrative support for maintenance and operations of all core facilities. The primary objective is to oversee all administrative tasks required to ensure smooth operation of the core facilities; support staff members on a day-to-day basis with procurement; administer access to, control and maintain accurate record of, core facility users; billing and invoicing and communicate with students, faculty and external customers. The position also monitors, maintains and records revenue and expenditures of internal and external cost centers, assist department accountants with preparing and managing invoicing activities.

  • Oversee all administrative operations of core facilities such as procurement, interfacing with staff, and external vendors to ensure items ordered are delivered in a timely manner.
  • Provide access to, control and maintain record of, internal and external users’ access to labs, required on-line safety training using BioRaft and CCURE systems, and guide internal and external customers to university procedures for building and ultimately research laboratory access.
  • Prepares, monitors revenue and expenditures of internal and external cost centers of core facilities and generate reports as necessary.
  • Assures effective operations through the use of sound financial business practices and appropriate internal controls.
  • Document and distribute internal and external correspondence, invoices, reports and communications with staff, faculty and customers.
  • Generate monthly core facility usage data, assist department accountant with creating and managing invoices for internal and external customers.
  • Serve as an administrative contact person for all Research Core Facilities inquiries. maintains contacts and liaison with other UTD administrative offices.
  • Take initiative and be motivated to take on projects to address areas of improvement.
  • Process requests for access to NSERL and BSB buildings as needed with activities related to core facility access and educational and administrative needs of faculty and staff.


Bachelor’s degree in Business or a related field, with a minimum of four years of experience in program/project development or an equivalent combination of education and experience.
