We have a client in the Fort Worth area looking to hire an Executive Administrative Assistant for their office. This company focuses in multiple industries to include non-profit, aviation, real estate and oil & gas. This executive assistant will focus on responsibilities pertaining to the business and personal assistance as needed.
Ideal candidates will have a bachelor’s degree from an accredited university and are comfortable being based out of or relocating to the Fort Worth area. This opportunity carries a normal schedule but is requiring someone that’s comfortable with additional hours (weekends) as needed.
Responsibilities may include but are not limited to:
- Administrative Support:
- Manage executive’s calendar, schedule meetings, and coordinate travel arrangements.
- Prepare and edit correspondence, reports, and presentations.
- Handle incoming and outgoing communications, including emails, phone calls, and mail.
- Coordinate and organize meetings, conferences, and special events.
- Maintain and organize files, records, and documentation.
- Personal Assistance:
- Assist with personal errands and tasks, including managing appointments and coordinating with vendors.
- Handle personal correspondence and communications as required.
- Provide support for family-related activities and events.
- Project Management:
- Assist with the planning and execution of special projects and initiatives.
- Conduct research and compile reports as needed.
- Track project timelines, deadlines, and deliverables.
- Financial Administration:
- Process expense reports and handle invoices and reimbursements.
- Assist with budgeting and financial record-keeping.
- Office Management:
- Oversee office supplies and equipment, ensuring they are well-stocked and in working order.
- Coordinate with other administrative staff and departments as necessary.
- Confidentiality and Discretion:
- Maintain confidentiality regarding sensitive information and high-level matters.
- Exercise discretion and professionalism in all interactions and communications.
Qualifications:
- Education:Â Bachelor’s degree or equivalent experience preferred.
- Skills:
- Exceptional organizational and time-management skills.
- Strong verbal and written communication abilities.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and other office software.
- Ability to handle multiple tasks and prioritize effectively.
- High level of professionalism and attention to detail.
- Discreet and trustworthy with confidential information.
Working Conditions:
- Full-time position, with potential for occasional overtime.
- May involve occasional out-of-hours work depending on the executive’s schedule.
Salary: $76,000 – $90,000
