Provides support for ECE Department’s human resources, payroll, and time and labor functions. Function as liaison to School, budget, human resources, payroll and other units. Assists as a part of the department’s employment team to develop standard operating procedures and policies that work with School and University policies, as well as applicable local, state and federal laws and regulations. Answers questions, provides advice to ECE department faculty regarding employment and relevant policies, local, state and federal laws and regulations.
A high degree of professional email communication is required. Excellent proficiency in verbal and written communication skills. Office professionalism is required. Creates a positive workplace culture for all faculty and staff. Ideal candidate will present a professional, composed image within the ECE Department and externally through their actions, and in verbal and written communications. High demonstration of integrity and ethical behavior in working with confidential information. Detail oriented with payroll and employment data, department electronic file organization, and spreadsheets. Active listener. Sensitive communication required at times. Ability to receive and follow instructions. Work effectively in a team and with an immediate supervisor.
Works as a member of the department’s employment team to assist with human resource and payroll tasks and procedures. Including but not limited to: ePAR creation, terminations, eCAT check-outs, semester employment processing and verification, payroll processing corrections.
Assists with questions regarding entry into the Time and Labor module in PeopleSoft departmental timesheets. Assists in using Time and Labor module for employee time reporting. Requests, collects and organizes the payroll activities required in processing payroll for ECE Department employees paid on a semi-monthly and monthly basis. Responsible for intake and ensuring accuracy of employment and pay data entered. Assures compliance with employment and program policies and procedures. Provides reporting for department’s financial team. Calculates cost, requests budget transfers. Collates and submits scholarship processing data. Composes correspondence for J-1 visitors’ visa requests.
Participate in event planning and execution such as: graduate student orientations, RA/TA welcome and meet-and-greets and team building events, commencement and graduation day events.
Bachelor’s degree and five years of office administration or project management experience including two years at an Administrative Assistant I level or an equivalent combination of education and experience.
